Defects Location

This section will guide you through locating 'Defects' in Onboard.

To have the ability to change defect settings, you must be an 'Defect Admin' or a 'Superuser'.

1

Firstly, once you have logged into 'Onboard' select the 'admin' tab.

2

Once here navigate to the ‘defects' tab.

3

To view the ‘defect’ tab you'll need to use the back button on the navigation bar to get back to the top level.  You should now be able to select the 'defect' vehicle tab and control whether you wish to activate vehicle defects.

Defining Defect Categories and Types

This section will guide you through how to add reasons to defect a vehicle.

1

You can now select the ‘categories’ tab to view the current reasons for defecting the vehicle. Here you can edit, delete or add defect categories. Remember to save any changes as you work through.

2

Next, select the ‘types’ tab to view the reasons for defecting the vehicle. Here, again, you can edit, delete or add defect types. Types will give a more specific reason as to why the vehicle has been defected and will generate a code.

3

To add a new type, select 'add defect type' and then select a 'defect category' and then enter the 'new defect type' into the box.. Click 'add defect type to save'.

Defining Defect States

This section will guide you through how to define defect states and configure their settings.

It is important to ensure that you 'Save' changes after each change that is made.

1

You can select the ‘States’ tab to view the current defect states. Here you can edit, delete or add new states.

2

Next, you will be given the option to 'search for a state' or 'add a state' (using the + symbol). There is also a filter option as well to make your search more specific.

3

Next, you will be able to add in the 'name' and 'description' to the state of the impounded vehicle. Save once these details have been added.

4

When adding or editing a state, you can opt to ‘automatically progress fleet items to a different state’. You can set the state vehicles will automatically progress to and when. You may still manually move vehicles when auto-progression is toggled on. Don't forget to save progress as you work through.

Defect Fees

This section will guide you through how to apply fees.

It is important to ensure that you 'Save' changes after each change that is made.

1

You can now decide whether you wish to charge fees for vehicles in this state. If toggled on, fees will be configured in the ‘Fees’ tab. You can set certain companies as ‘Non-charging' for this state.

2

Now fees are toggled on for the defect state, select the 'Fees' tab.  From here, you have the option to add an 'initial fee' and 'daily fees'.

Defect Emails

This section will guide you through how setting up advisory emails for the defect state.

It is important to ensure that you 'Save' changes after each change that is made.

1
From the 'Advisory emails' tab, select 'Create advisory email' to begin.

2

You can now create your advisory email.  You can edit the subject and body of the email and style it to your preference with the text editor. You can also click 'Preview email' to see the finished email as it will be received.

3

Below the email editor are the email settings. Here you can decide if this email should go to defect admins, company admins who own the vehicle, or both. You may also choose between two options for triggering the email:  Immediately when a vehicle enters this state, or after a specified number of days in the state.  Once you're happy with the content and settings, click 'Create email' to save.

4

Finally, you will then see the following screen below, where you will see your 'advisory email schedule'.  From here, if you select 'action', you will then be able to 'edit', 'preview' or 'delete' your email. It is important here again to 'Save' the changes before exiting the page.
